Connection Issues
Polaris AI Not Responding
What it looks like: Messages don't get responses or take very long
Check Internet Connection
Check internet connection
Refresh Your Browser
Refresh browser (Ctrl+R or Cmd+R)
Clear Browser Cache
Clear browser cache (Settings → Clear browsing data)
Try Different Browser
Try a different browser
Restart Your Computer
Restart computer
Still not working?
- Check status page
- Try again in 5 minutes (might be temporary)
- Open support chat for help
Session Keeps Losing Connection
What it looks like: Gets disconnected, loses chat history or has to reconnect repeatedly
Open Connection Settings
Go Settings → Preferences → Connection
Enable Auto-Reconnect
Toggle Auto-Reconnect ON
Check WiFi Usage
Try disconnecting another app using WiFi (bandwidth issue)
Try Wired Connection
Try with a wired connection if possible
Can't Access Dashboard
What it looks like: Login works but stuck on loading screen
Clear Cache Completely
Clear browser cache completely
Clear Cookies
Clear cookies for polarisai.com
Close All Tabs
Close ALL tabs with Polaris AI
Log Out Completely
Log out completely
Log Back In
Log back in fresh
Use Incognito/Private browsing mode first to test - if it works there, it's likely a cache issue.
Integration Issues
Can't Connect Gmail
Problem: Authorization keeps failing
Disconnect Gmail
Disconnect Gmail first (Settings → Account → Connected Apps → Disconnect)
Clear Cookies
Clear browser cookies for gmail.com and polarisai.com
Log Out of Gmail
Log out of Gmail
Log Back In
Log back in to both
Try Connecting
Try connecting again
Alternative: Try from Incognito mode first
Still failing?
- Make sure 2FA on Gmail isn't blocking app access
- Try app-specific password if Gmail requires it
Can't Send Email Through Polaris AI
Possible causes:
| Issue | Solution |

| Gmail disconnected | Reconnect Gmail in Settings |
| Out of daily limit | Wait until midnight or upgrade plan |
| Email blocked as spam | Gmail filters might be catching it |
| Recipient doesn't exist | Double-check email address |
| Large attachment | Check file size < 25 MB |
How to verify:
- Check the error message in Polaris AI
- Try sending directly in Gmail to test
- Check Gmail's Sent folder
Google Calendar Won't Show Events
Possible causes:
Verify Connected Calendar
Make sure calendar is connected: Settings → Account → Connected Apps → Google Calendar ✓
Check for Hidden Calendar
Check if calendar is hidden in Google Calendar app
Reconnect Calendar
Try disconnecting and reconnecting
Check Event Location
Check if event is in different calendar than expected
Microsoft Outlook Connection Keeps Dropping
Try disconnecting and reconnecting
Once connected, toggle Auto-Reconnect ON (Settings → Preferences)
Check Microsoft account security - log in to outlook.microsoft.com directly
GitHub Not Updating
What it looks like: See old issues or repos
Ask "Sync GitHub" to force refresh
Disconnect GitHub, wait 30 seconds, reconnect
Check public vs private repository permissions
Email Issues
Emails Sent to Wrong Person
Act quickly! You have ~30 seconds to undo.
Immediately ask "Undo that email"
Check Gmail Sent folder
If sent, contact the person to explain
Prevention: Use confirmation mode - ask "Draft an email to..." first to preview
Can't Find Email
Try these search variations:
- Search by sender name (not full email)
- Search by subject keywords
- Search by date range
- Search from: person@example.com (Gmail format)
Alternative approaches:
- "Show emails from John this week"
- "Find emails about the proposal"
- "Search for emails with 'urgent'"
Email Marked as Spam
If you receive an email that shouldn't be spam:
Ask "Mark emails from [sender] as important"
Or manually in Gmail: "This isn't spam" button
Future emails will go to Inbox
Signature Not Working
Go Settings → Account → Email → Signature
Add or edit your signature
Make sure Use signature is toggled ON
Calendar Issues
Events Not Showing
Possible causes:
- Calendar not selected to show
- Events in different calendar
- Date range filter active
- Time zone mismatch
Fix:
In Google Calendar, make sure calendar is checked (visible)
Check Settings → Preferences → Timezone matches your actual timezone
Can't Schedule Meeting
Error messages:

| "No time available" | Try different date/time, expand search window |
| "Invalid time format" | Use format like "3:30 PM" or "Tuesday at 10 AM" |
| "Calendar full" | Remove or move other events |
| "Permission denied" | Make sure you own/can edit that calendar |
Reminder Didn't Trigger
Check timezone in Settings → Preferences → Timezone
Check browser notifications are enabled
Check Settings → Preferences → Do Not Disturb isn't blocking it
Check your computer wasn't sleeping at reminder time
File Issues
Can't Upload File
Can't upload?
| Error | Solution |
|---|---|
| "File too large" | Max is 100 MB per file, compress or split |
| "File type not supported" | Convert to supported format (see Supported Formats) |
| "Upload taking forever" | Likely internet speed - try smaller file or wired connection |
| "Out of storage" | Upgrade plan or delete old files |
Files Disappeared from Vault
Check filter - make sure "All" files selected, not filtering by type
Search by filename
Check Trash/Recently deleted
Contact support if really stuck
Can't Reference File
Make sure you:
- ✓ Actually uploaded the file
- ✓ Uploaded it to Vault (not attached to email)
- ✓ Using recent filename in command
- ✓ Describing what you want it used for
Example that works: "Use the pricing.xlsx file I uploaded to create a comparison doc"
Performance Issues
Slow Responses
Common causes:
- Complex request requiring multiple steps
- Internet speed
- Temporary server load
- Large file processing
What to try:
- Simplify your request
- Break complex tasks into smaller steps
- Check internet speed
- Try again in few minutes
High Battery Drain
If Polaris AI is draining battery fast:
Close unnecessary tabs
Disable voice features if not using
Toggle Auto-Reconnect OFF if having connection issues
Use Polaris AI web app instead of leaving browser tab open
Too Many Notifications
Go Settings → Preferences → Notifications
Toggle off notification types you don't want
Enable Do Not Disturb during specific hours
Account Issues
Forgot Password
Go to login page
Click "Forgot password"
Enter your email
Check email for reset link
Click link and set new password
Password reset links expire after 24 hours. If link doesn't work, request a new one.
Can't Log In
Try these steps:
Double-check you're typing email correctly
Check Caps Lock isn't on
Try password reset even if unsure
Try Incognito mode (rule out browser issues)
Contact support with account email
Lost Access to 2FA
If you can't access your authenticator app, use recovery codes.
Go to login page
Enter email and password
At 2FA prompt, click "Use recovery code"
Enter one of your recovery codes
Now turn off 2FA and set it up again
Lost recovery codes too?
- Email support@polarisai.com with identity proof
- May take 24-48 hours to regain access
Billing Issues
Charge declined:
Verify payment method in Settings → Billing → Payment Method
Update if outdated
Try different payment method
Contact bank to approve charge
Duplicate charges:
- Contact billing@polarisai.com immediately
- Include email and transaction date
- We'll investigate and refund if needed
Feature Not Working
Voice Input Doesn't Work
Go Settings → Preferences → Voice
Make sure Enable Voice Input is ON
Check browser microphone permission:
- Chrome/Firefox: Click microphone icon in address bar → Allow
Try again
Text-to-Speech Not Playing
Make sure device volume isn't muted
Go Settings → Preferences → Voice
Toggle Text-to-Speech OFF and back ON
Check browser audio permissions
Memory Not Learning
Memory disabled?
Go Settings → Preferences → Memory
Toggle Allow Learning ON
Memory working but seems wrong?
Go Settings → Memory → View Memories
Find incorrect memory
Click edit or delete
